Annual General Meeting &
Blues Exec and Board Elections

We need your help! And we need your vote!

If you’re interested in contributing to our our amazing rugby club on the administrative side, our Annual General Meeting (AGM) is coming up.

There are some important positions up for election and it is crucial that we have some friends and supporters of the Bytown Blues step up and keep things running from an administrative side.

Attend the meeting and put your name forward for one of our upcoming Board vacancies!

When: Sunday November 24th, 11:00 AM

Where: Online, via Google Meets:

What: Each Bytown Blues Rugby Club member in good standing and one parent of a youth member in good standing will have the opportunity to vote to elect new members of the Blues Board, as well as vote on various motions and decisions put forward at the AGM.

Meeting topics will also include a financial year-end statement and a budget for the forthcoming year.

Members nominated or putting their name forward for Board positions must be present or have submitted written confirmation of their acceptance of the nomination at the time of the meeting and election.

Board Positions

There are two position levels on our Board: The Executive Commitee and the Board of Directors.

Executive Officers will be elected for a two-year term in their role.
Board of Directors will be elected for a one-year term in their role.

Executive Commitee (2 year) positions available:

President, duties include:

Chair all Executive Committee and Board of Directors meetings;
Represent the Club to the EORU, RO, RC, or any other rugby union or governing body;
Serve as an ad-hoc member of all Club committees;
Represent the Club at the Twin Elm Rugby Park Board (TERP);
Be responsible for the activities of the Executive Committee and Board of Directors;
Responsible for ensuring that Club articles and by-laws are implemented.

VP Administration/Registrar, duties include:

Manage player registration;
Manage the Club’s Strategic Plan;
Manage the duties of the Secretary;
Form and Chair any committees deemed, by the Board of Directors to support their role;
Manage the planning for the Annual General Meeting or any Special General meetings.

VP Communications, duties include:

Market and promote the Club, including email and social media;
Manage the Club web site and any other general communication tool used by the Club;
Responsible for publicity of Club activities and other activities of interest to Club members (e.g. EORU activities, other club fund raisers);
Liaise with Life and Social Members;

Board of Directors (1 year) positions available:

Treasurer, duties include:

Works with VP Finance;
Maintains the financial books of the Club;
Provides a financial report for each Executive Committee and Board of Directors meetings;
Prepares a year-end financial report for the Annual General Meeting;
Maintains the banking process for the Club; deposits and withdrawals.

Secretary, duties include:

Works with VP Administration;
Records minutes of Executive, Board, Annual General Meeting and Special General Meetings;
Distributes minutes to all officers of the Club;
Maintains a record of all meetings and special proceedings of the Club;
Notifies Club members of meeting dates, times and locations;
Maintains a list of all Club members and their contact information.

Diector of Rugby Development, duties include:

Works with VP Men, VP Women and VP Minor
Ensures access to training facilities
Oversees management of training and team equipment
Coordinates and oversees general club style of play

Director of Communications, duties include:

Works with VP Communications;
Coordinates the writing of articles and publication on Club activities;
Coordinates photos and publication of Club activities;
Coordinates distribution of Club information to Club members;
Coordinates management of the web site and other social media tools.
